How to Roll Forward a Depreciation Schedule Each Year

By Gregg Hopfeldt · 2025-05-19

Roll forward your depreciation schedule at year-end to produce a defensible register with verified opening balances and no formula drift.

The system will prompt you to generate an audit report during roll forward. This gives you a verified year end reference you can return to.

The Purpose

Roll forward closes the current period and carries forward verified opening balances so your depreciation schedule remains defensible, consistent, and audit-ready from one financial year to the next.

The Logic

This process satisfies the fundamental accounting requirement for period integrity and audit trail continuity under GAAP and IFRS frameworks.

The roll-forward logic follows a stable sequence:

  1. Archive the closed period. The current fixed asset register is archived with its fiscal year label and all data preserved. This copy becomes read-only, creating an unshakeable historical record.

  2. Roll forward opening values. Year-end accumulated depreciation carries into the new period so calculations start from verified closing balances.

  3. Reset formula cells. Depreciation and book value formulas are cleared and updated automatically for the new period. This prevents formula drift.

  4. Create a rollover history record. The system logs the source period, target period, assets carried forward, and disposed assets included. This provides a stable audit trail.

This is safer than a manual spreadsheet adjustment because the system preserves the archived period intact—no cells can be accidentally edited or overwritten. You avoid the common errors of copying formulas incorrectly, missing accumulated depreciation balances, or leaving stale values in the new year. The result is repeatable year-end data that stands up to audit scrutiny. Rolling forward manually can lead to human error, we help you to avoid that.

The Steps

Prepare before roll forward

  1. Export your fixed asset register or create a backup copy before you make year-end changes.

  2. Complete any outstanding asset disposals for the current financial year. Confirm each disposed asset shows Disposed in the register.

  3. Check the financial year start date and review your depreciation settings so the register is aligned to the correct period. Verify that depreciation rates and methods are configured correctly for each category—incorrect settings will produce unreliable calculations in the new year.

  4. Clear any filters or grouped views to confirm no assets are hidden from your final check. Filters narrow the register view without changing the underlying data. If a filter is active during your review, you may overlook records that need attention before roll forward.

  5. Generate an audit report and save it with your year-end records.

Run the roll forward

  1. From the register view, open the More menu and select Rollover to New Year. In the Tool, follow the roll-forward instructions as you go through the prompts.

  2. If the fiscal year has not yet ended, the system displays a timing warning: Rollover is not available until {date} ({n} day(s) remaining). Wait until the last day of the fiscal year or after to proceed.

  3. If disposals are incomplete, the prompt asks whether to record them. Select Yes, record disposals to finish them before continuing, or No, proceed with rollover if all disposals are complete.

  4. The Generate Report? prompt appears. Select Audit Report to create a final year-end report, or select the option to skip this step.

  5. Review the summary carefully. When ready, select Confirm Rollover.

  6. The system displays Rolling Over... while it archives the current period and prepares the new one.

  7. When complete, the modal shows Rollover Complete! The archived period is now read-only, and the new period is ready for use.

The Outcome

A successful roll forward produces:

  • A stable opening register with verified year-end values carried forward.

  • An archived, read-only copy of the closed period for reference and audit support.

  • A rollover history record documenting the transition between periods.

  • Clean formula cells ready to calculate depreciation for the new year.

The result is a defensible, audit-ready register with zero ghost assets and a clear, Linen-clean trail from one period to the next.

If you are adding historical assets before year-end, you can Import assets from CSV to load them in batch. Before importing, confirm your depreciation rates and methods are configured correctly—incorrect settings will produce unreliable calculations that carry into the new year. After import, scan the register for missing values or mismatched categories, then proceed with roll forward.
