Export Your Fixed Asset Register

By Gregg Hopfeldt · 2025-05-20

Exporting your fixed asset register creates a stable, portable record that supports audit readiness and reduces reliance on in-app access during reviews.

The Purpose

A CSV export provides a defensible snapshot of your register—consistent, repeatable, and independent of live system changes.

The Logic

The export function captures the rows and columns currently visible in your register view. This calculation logic ensures that what you see is what you export. If filters are active, the exported file reflects the filtered subset—not the full register. This behavior prevents accidental omission of assets during year-end close or external audit preparation. The result is a verified, linen-clean record that matches your on-screen state at the moment of export.

Stable output requires stable input. If you have changed depreciation settings, the system automatically updates all values. This prevents formula drift between your configuration and the values in the exported file.

The Steps

  1. Open the Fixed Assets Register. Navigate to the register you intend to export.

  2. Verify your view. Check whether filters or grouping are active. Clear filters if you need the complete register. Apply filters if you need a targeted subset.

  3. Confirm depreciation is current. If you adjusted depreciation rates or methods, the system automatically updates accumulated values to reflect the current configuration.

  4. Select Export CSV. Click Export CSV from the register toolbar.

  5. Save the file. Download the CSV to your computer and store it in a consistent location for audit access.

  6. Confirm the output. Open the CSV. Verify that asset identifiers, dates, values, and depreciation totals match your expectations.

The Outcome

A successful export yields a sharp, portable ledger—audit-ready, with consistent values and zero ghost assets. The file reflects a stable point-in-time view of your fixed asset register, suitable for external review, archival, or year-end close procedures.
