Connect FreshBooks and send journal entries

By Gregg Hopfeldt · 2026-10-30

Simple Fixed Assets can send the journal entries from your Fixed Asset Register straight into your FreshBooks books, so you don't have to type them in yourself. The register stays the single source of truth: every entry sent to FreshBooks comes from the register's own figures.

What gets sent

For each completed month, Simple Fixed Assets can send:

  • Depreciation for each asset category.
  • Purchases of new assets, unless you choose "I record them myself in FreshBooks" (for example, because you already record them when you pay the supplier).
  • Disposals: removing the cost and accumulated depreciation, the sale proceeds, and the profit or loss on disposal.
  • Impairments.
  • Prior period adjustments, when you correct an earlier year's figures.

Every entry is balanced (debits equal credits) before it is sent. The current, unfinished month is never offered.

Connect FreshBooks

You can connect in two ways:

  • From FreshBooks: find Simple Fixed Assets in the FreshBooks App Store and click Install. Sign in to FreshBooks, choose your business and click Allow. Then sign in to Simple Fixed Assets, or create an account to start your 14-day free trial.
  • From Simple Fixed Assets: open a Tool and click Connect FreshBooks in the FreshBooks section above the journal entries.

One FreshBooks login can be connected to one Simple Fixed Assets account. This protects your books from duplicate journals. If you see a message that your FreshBooks login is already connected to another account, sign in to that account or contact support at [email protected].

Choose your books and match your accounts

Each Tool sends to one FreshBooks business. If your FreshBooks login has more than one business, choose the right one for the Tool using Choose books (or Change) in the FreshBooks section above the journal entries.

Then click Match accounts and choose, for each line Simple Fixed Assets uses (for example "Depreciation – Computer Equipment" or "Accumulated depreciation – Vehicles"), the account in your own FreshBooks chart of accounts. Simple Fixed Assets never guesses accounts by name. You only need to do this once per Tool; you can change a match at any time.

Send journal entries

  1. Open the Tool.
  2. In the FreshBooks section, choose a completed month, or Everything since my last send.
  3. Click Send to FreshBooks.
  4. Check the entries in your FreshBooks General Ledger.

Months that have been sent are ticked off and can't be sent again by accident, even if you click twice or have the Tool open in two tabs. If you genuinely need to re-send a month, use Send this month again, which asks you to confirm first.

If a send stops partway (for example, because of a connection problem), the months already sent stay ticked off. Sending again carries on from where it stopped, without duplicating any entry.

When the register changes after a month was sent

If you change the register after a month has been sent (for example, correcting a purchase date or cost), the balance check shows the difference between the register and what was sent. Post the difference as an adjustment from the Tool, so FreshBooks agrees with the register again. You can't roll over to a new financial year while changes to months already sent are still waiting to be posted.

Disconnect

Click Disconnect in the FreshBooks section of any Tool. This disconnects FreshBooks from your Simple Fixed Assets account, so none of your Tools can send until you connect again. Simple Fixed Assets deletes its stored access to your FreshBooks account straight away. Journal entries already in FreshBooks stay there; Simple Fixed Assets never deletes or changes anything in your books. You can also remove access from your FreshBooks account settings. Your account matches and the record of what was sent stay with each Tool, so your history is kept if you reconnect.

Frequently asked questions

What does Simple Fixed Assets read from FreshBooks? Your FreshBooks profile (name and email), your businesses, your chart of accounts, and journal entries (to find the ones Simple Fixed Assets sent and to check your business's currency). It doesn't read your invoices, clients, payments or bank data.

Can Simple Fixed Assets change or delete anything in my books? No. It only creates new journal entries. It never edits or deletes existing entries or anything else in FreshBooks.

Is my FreshBooks access secure? Simple Fixed Assets never sees your FreshBooks password. Access is granted through FreshBooks' own sign-in, and the access tokens are stored encrypted and can only be used by our server, never by your browser.

Can I connect more than one FreshBooks business? Yes, if they are under the same FreshBooks login. Each Tool sends to one business, chosen with Choose books in the Tool's FreshBooks section.

Does sending happen automatically? No. You choose when to send, so you can review each month's entries first.

Who do I contact for help? Email [email protected]. We reply within two business days.
